A janitorial contract is a maintenance agreement, not a series of cleans. What separates a good one from a bad one is whether anybody can tell you what was done last Tuesday.

Most janitorial contracts fail the same way. The first month is excellent, the third month is fine, and by month eight things are quietly dropping off the list and nobody notices until a customer visit or an audit. The fix is not enthusiasm, it is documentation and supervision — and being told about problems rather than having them papered over.

What a contract includes

  • A written scope that lists every task, every area and the frequency of each — nightly, weekly, monthly, quarterly — so there is nothing to argue about later
  • A visit log so you can see what was completed and when, and raise anything specific against a date
  • Supervisor inspections on a set cycle, against the scope, with findings sent to you rather than kept internally
  • A named contact who answers the phone, and a written escalation route for a missed visit or a complaint
  • Consumables managed if you want them managed — paper, soap, liners, sanitiser — with usage tracked against headcount
  • Insurance and WSIB documentation current and on file before the first shift, and reissued when your contract requires it

Scheduling in a shift city

The default assumption everywhere else is that the building empties at six. In Cambridge it often does not. Contracts here are written against the actual shift pattern: after-hours crews where the building genuinely closes, overnight crews on continuous operations, split coverage where the plant runs but the office does not, and a weekend visit for the heavier rotation items where there is a down day. The pattern is set at the walkthrough, and changed if your shifts change.

Multi-tenant and mixed-use buildings

Multi-tenant offices and the mixed commercial buildings through downtown Galt and along Hespeler Road need common areas, entries, stairwells, elevators and shared washrooms handled to a standard that individual tenants can see, plus a clear boundary between what the landlord pays for and what a tenant buys separately. That boundary goes in the scope in writing, because it is the thing property managers get called about.

Changing the scope

Buildings change. Headcount grows, a tenant moves in, a line gets added, a wing gets closed. The scope is reviewed on request and at least annually, and any change is repriced up or down before it happens. Nothing appears on an invoice that was not agreed first.

Usually twelve months so the pricing and the crew are stable, with a straightforward out if service does not hold up. Shorter terms are possible on smaller sites. Nothing auto-renews at a higher rate without a conversation first.

What happens if a visit gets missed?

You get told, and it gets made up. A missed visit that you discover before we tell you about it is a failure of the supervision, not just of the schedule, and it is treated that way.

Do we get the same crew each visit?
